Orientation
There are some important steps that need to be taken within the first few days of a new employee starting in their new position.
- New employees should view the orientation CD, Carnegie Mellon and You: Today and Tomorrow, within the first few days of employment. The content is available online. The CD and web versions take a few moments to autoload using QuickTime.
- Give the employee an orientation to the workplace, including their daily schedule and specific job duties. (See the Orientation Timeline (.pdf) and Orientation Checklist (.pdf).)
- Benefits-eligible faculty or staff should log on to HR Connection and make their benefit elections within 31 days of employment, or they will be enrolled in the default benefits until the next Open Enrollment period.
- Be sure that the person completes the I-9 form at Payroll Services in order to be paid (in most cases, a passport or a driver's licence plus social security card are considered acceptable documentation).
- Have the employee read, complete and return important documents, including:
- Intellectual Property Policy of Carnegie Mellon. The person should sign and return the Intellectual Property Agreement form. A copy of this information should be retained at the department level for record-keeping purposes.
- Workers' Compensation Packet (.pdf). This packet contains three important forms - the Information Form, the Acknowledgement of Employee Rights and Duties and the Supervisory Injury/Illness Report. The first two forms should be signed and returned. (The Injury/Illness Report is only completed when a work-related injury or illness is sustained.
- Equipment Loan Statement of Understanding (.pdf). This provides a record of equipment or software that is borrowed and gives permission to Carnegie Mellon to deduct the cost from an one's paycheck if the equipment is not returned.
- Have the employee complete the Preventing Sexual Harassment in the Workplace online training and sign up for any learning opportunities that will be needed to do their job.
- Create a Personnel Record for the individual.
- Additional Campus Services
- New employees should get a university ID+ card from the Card Office in Warner Hall. (The ID+ card also contains the PAT bus authorization.)
- Create an Andrew computing account through Computing Services, as well as a departmental computing account (if applicable). Read the computing policies and guidelines.
- Parking can be arranged through Parking and Transportation Services.
- Direct Deposit should be arranged through Payroll Services. Carnegie Mellon partners with PNC Bank and Citizens Bank for enhanced banking services.
- If the person will be operating a vehicle as an essential job function, review the Driver's License Protocol (.pdf) and have the employee register for the Defensive Driver Training course through Evironmental Health and Safety.
In addition, remember that feedback during the first few months of a staff or faculty's employment is vital to ensure that they are meeting the needs of the department, getting the support and information they need, and are learning the work duties acceptably. Ideally, about mid-way through the employee's provisional period, you should conduct a Provisional Period Performance Review (.doc) to make sure the employment relationship is off to a good start.
